How we collect, use, share, and protect your personal data under the GDPR.
1. Who we are (data controller)
The data controller for this website and the congress is SC Romania Travel Plus SRL, the event organizer. For any data-protection request you can contact us at the address at the end of this policy.
2. What data we collect
Account and profile data (name, email, phone, professional details such as specialty, workplace, and — for Romanian physicians — the CUIM code); registration and billing data (fee category, billing name, fiscal code, address); payment data (amount, status, and a payment reference — full card details are handled only by our payment processor, never by us); abstracts and presentations you upload; and technical data such as essential cookies.
3. Why we use it and the legal basis
To create and manage your account and registration (performance of a contract); to process payments and issue invoices (contract and legal obligation); to review abstracts and manage speaker participation (contract / legitimate interest); to validate EMC credits with the Romanian College of Physicians where applicable (legal obligation); to send transactional emails about your registration (contract); and, only with your consent, to measure site usage via analytics cookies.
4. Who we share it with
Service providers acting on our behalf: Stripe (payment processing), Resend (transactional email delivery), our hosting/database providers, and — for accommodation requests you submit — our partner travel agency. Where required by law, professional data of Romanian physicians is transmitted to the Romanian College of Physicians for EMC credit validation. We do not sell your data.
5. How long we keep it
Account and profile data are kept for the duration of your account. If you close your account, we anonymize your personal data and delete your personal files. Invoices and payment records are retained in anonymized form for the period required by fiscal law, after which they are deleted.
6. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict, and port your data, and to object to certain processing. You can download a copy of your data or close your account at any time from your account under “Privacy & data”. You also have the right to lodge a complaint with the national supervisory authority (ANSPDCP).
7. Cookies
We use essential cookies that are strictly necessary to run the site (for example, to keep you signed in). Non-essential analytics cookies are used only if you accept them in the cookie banner; you can decline them and still use the site normally.
